URGENT Information for Foreign Students and Employees – TRC Applications

Due to the launch of the new TRC application system, which will be handled entirely through the MOS portal (Case Management Module), we would like to inform you about the steps to take to remain legally in Poland and share important updates from the Department of Foreigners.

Who must apply as soon as possible?

All persons whose legal stay in Poland (visa, residence card, or visa-free stay) expires between March 2026 and 30 April 2026.

Why is this urgent?

If your application arrives after the new MOS system is launched, it may not be accepted for processing, as informed by the Department of Foreigners. Since it is impossible to guarantee how long postal delivery will take, your application may arrive after the system starts operating. This may result in an illegal stay in Poland.

Required documents (basic set):

You must send the basic required documents set (you do NOT need to send the full set) to the Department for Foreigners:

  1. TRC application form from the MOS portal – completed in Polish, printed and signed 
  2. Copy of passport + copy of current residence card (if you have one)
  3. 2 coloured photos (35 mm x 45 mm)
  4. Stamp duty payment confirmation – 340 PLN / 440 PLN (depending on the basis of your application, e.g. student, researcher, or employee) – PDF confirmation from your bank in Polish.

How to apply?

You must send your application by Poczta Polska to:

Please use registered mail with confirmation of delivery (PL: list polecony z potwierdzeniem odbioru).

Here you can download instruction of filling in the postal form :

  • the white postal slip (PDF) – be sure to keep it as proof that you have submitted your application.
  • the yellow postal slip (PNG) – attach it to the back of the envelope. The Department of Foreigners will send it back to you after receiving your application as a confirmation of delivery.

Fees

Stamp duty: 340 PLN / 440 PLN (depending on the basis of your application) when applying for TRC.
