Employee cards
ACADEMIC TEACHERS
Academic teachers may apply for an electronic academic teacher card (ELN – elektroniczna legitymacja służbowa nauczyciela akademickiego). In order to apply, contact your faculty or unit.
The card requires revalidation every year (in the case of academic teachers employed for an indefinite period) or every semester (in the case of academic teachers employed on a fixed-term basis).
The academic teacher card can be used as a:
- Warsaw public transport card,
- BUW library card,
- access card to the facilities of the UW Sports and Recreation Centre.
The academic teacher card entitles you to a 33% discount when travelling by:
- public rail transport on passenger trains, based on single or monthly personal tickets;
- public bus transport, based on monthly personal tickets.
Important! This discount does not apply to public transport within Warsaw.
OTHER EMPLOYEES
Employees who are not academic teachers may apply for an electronic employee card (ELP – elektroniczna legitymacja pracownicza). In order to apply, contact the unit where you are employed.
The employee card can be used as a:
- Warsaw public transport card,
- BUW library card,
- entry card to the University of Warsaw Botanical Garden,
- access card to the facilities of the UW Sports and Recreation Centre,
- payment method for parking spaces.
University email
You can create your own UW email account to contact students and other employees.

USOS
USOSweb (University Study-Oriented System) is a university study service system used at the University of Warsaw. Every student and employee has an account.
Teaching staff may use the USOSweb system to:
- upload the course curriculum,
- see a list of students participating in their courses,
- communicate with students via USOSmail,
- enter students’ final grades at the end of the semester.
SAP
The SAP system is a Public Administration System which enables employees to:
- see the amount of money earned and the contributions paid by the University (taxes, social security, insurance contributions, etc.),
- receive the PIT-11 tax declaration,
- check how many leave days they have used and how many they have left.
The SAP system has many other functions that are used by specific units and offices of the university, such as the Bursar’s Office or the Human Resources Office.
SAP Fiori
SAP Fiori is an electronic request system for:
- occasional remote work (24 days for each calendar year),
- holiday leave,
- “on-demand” holiday leave,
- special leave,
- exemptions – care of a child under 14 years of age (for days or hours).
Log in using the same credentials as when logging in to the SAP system.

VPN and multi-factor authentication
GlobalProtect
The GlobalProtect VPN allows you to access university systems remotely and securely.
Multi-factor authentication
Multi-factor authentication (tokens) is used to increase the security of the University of Warsaw services, such as the Kampus platform or the GlobalProtect VPN.
There are three types of tokens you can use as an employee:
- physical tokens (YubiKey),
- application tokens (Google Authenticator, Microsoft Authenticator),
- email tokens.
In order to obtain a physical token, submit a request via DocSense (OTHER FORMS -> Request for VPN service access with 2FA). In the APPROVAL tab, add the head of your unit.

Application tokens (TOTP – time-based one-time password) can be added on mojekonto.uw.edu.pl. You can add an application token using apps such as Google Authenticator or Microsoft Authenticator.
If you do not have a physical token or an application token, when logging in to services requiring multi-factor authentication, a one-time email token will automatically be sent to your email address.
